Women & Their Work is looking for a part-time (25 hours per week) Administrative Assistant. Located in downtown Austin, Women & Their Work is a visual and performing arts organization that serves as a catalyst for new ideas in contemporary art. For over 40 years, Women & Their Work has brought groundbreaking art created by women to Austin with exhibitions, performances and education workshops.
The Administrative Assistant will be a vital member of Women & Their Work’s staff. Primary responsibilities will include visitor services, donor management assistance and research, and administrative support. The work schedule for this position is Tuesday- Saturday. Although the schedule has some flexibility, the candidate must have the ability to work Saturdays, and some evenings during the year.
Women & Their Work seeks a candidate who has demonstrated experience in a similar role, who is passionate about contemporary art, is well-organized, has strong communication and time-management skills, enjoys interacting with the public, and can manage multiple tasks and responsibilities, including:
Welcome guests to the gallery and provide information about exhibitions and programs
Staff gallery on Saturdays
Lead tours of exhibitions
Update W&TW website to reflect current and upcoming exhibitions & programs
Create and collect supporting materials for grants, reports, and meetings
Assist Executive Director with the management of fiscal sponsorships, including preparation of contracts
Maintain donor records and prepare acknowledgement letters
Research grant opportunities and donor prospects
Update mailing list/contact lists and organize mailings
Work with volunteers and delegate tasks, when applicable
General administrative tasks
Qualifications:
2+ years administrative experience
Ability to work well in a fast paced environment while managing multiple tasks
Flexible and able to adapt to shifting priorities
Strong communication skills - able to confidently communicate with visitors, volunteers and staff
Enjoys interacting with the public, in person and over the phone
Excellent grammar, spelling and proofreading abilities with strong attention to detail.
Self-directed and able to work with a small staff and volunteers
Comfortable running the gallery alone at times during the week and on Saturdays
Preferred:
Proficiency working with Salesforce, Microsoft office, Google Suite, and Adobe Creative Suite
Compensation: $18 per hour
Schedule: Tuesday- Friday, 10-3 pm, Saturday, 12-6 pm
